Policy
Privacy Policy
This policy explains what we collect when you use this website, why we collect it, how long we keep it, and how you can have it removed. It covers parents, guardians and prospective students who contact us or apply, not enrolled students' academic records, which the Student Data Policy covers.
Version dated 24 October 2026
This document is published for the academy's review with its advisors before public launch. It describes current practice, and it will be dated again once that review is complete.
Who we are
Beit YisraEL Academy of Arts & Sciences ("the academy", "we") operates this website to publish its programs and to receive applications, meeting requests and messages from families.
For questions about this policy, use our contact form and choose the topic "Privacy, data access or deletion request".
What we collect
We collect only what a specific request needs. There are three ways you give us information, and each asks for a different minimum.
- Application: parent or guardian name, email, phone (optional), state, student first name, grade level, preferred start, and any notes you choose to write.
- Meeting request: your name, email, phone (optional), the topic you select, and any notes you choose to write.
- Contact message: your name, email, phone (optional), the topic you select, and your message.
What we do not do
- We do not run advertising trackers or sell personal information.
- We do not place student information into your browser storage or into cookies.
- We do not ask for Social Security numbers, government identifiers, medical details, or payment card details through this website.
- We do not transfer student information to curriculum vendors. If you choose to open an account with a curriculum provider named on this site, that account is between you and them.
How we use information
- To review an application and decide on next steps.
- To schedule, reschedule or cancel a meeting and to notify our staff of changes.
- To reply to a message and keep a record of the conversation.
- To meet record-keeping obligations that apply to the academy and to keep an audit trail of who accessed what.
Consent and your choices
We ask for your agreement before storing application information, and we ask separately before contacting you by email or phone. You can withdraw that agreement at any time.
You may ask us for a copy of your information, ask us to correct it, or ask us to delete it. We confirm the outcome in writing. Requests are handled by academy staff, not by an automated system.
How long we keep information
- Applications that do not become enrolments are deleted automatically 24 months after submission.
- Contact messages are deleted automatically 24 months after they arrive.
- Audit entries recording access to records are kept for two years and then removed.
- Enrolled student records are kept for as long as the enrollment is active and for the period stated in the Enrollment Agreement, or as required by law.
How we protect information
- Access to application, meeting and message records is limited to academy staff accounts. Submissions are not readable by the public.
- Every submission is validated on the server, and our forms use honeypot and timing checks to reduce automated abuse.
- Access to records is logged so we can review who viewed or changed a record.
- If we ever learn of unauthorised access to personal information, we will tell the affected families and take steps to close the exposure.
Children
This website is intended for adults. Applications are submitted by a parent or guardian, and we ask for only a student first name and grade level at that stage.
We do not knowingly collect personal information directly from children through this website. If you believe a child has submitted information to us, contact us and we will delete it.
Changes to this policy
When this policy changes, we will update the version date above and, for material changes, tell families who have an active application or enrollment.
